Custom Trip Planning – Small groups
With True Italy Experience ‘s custom trip planning service, customers work one-on-one with us to plan their trip from beginning to end. You will be given choices of a range of services. Planning service, customers choose the star level or type of accommodation they want, along with the desired city or location, dates and budget they would like to stay within. We work to find accommodations, services, sightseeing tours, villas, escorted tours or packages at the customer’s desired budget and the clients desired route and dates of travel.
Boutique and esconted Tours, Custom Trips and all services offered
Deposits: All deposits are non-refundable. Deposits are 25% of the amount of the trip per person for all escorted tours, unless otherwise stated in writing. All bookings must be paid in full 45 days prior to departure. Your reservation is not confirmed until we receive your deposit. Under no circumstances will you be allowed to depart on a tour without having made full payment. If you make your reservation under 45 days before you plan to depart the full amount of your services is due.
Under any circumstances, full payment is required prior to departure and receiving your final confirmation kit.
Forms of Payment: True Italy Experience accepts Visa, MasterCard circuits We also accept Payments per Bank transfer and the amount must be in our bank account 45 days prior to arrival. The “Total Charges” that you will pay for using our services will always be disclosed to you before you are asked for final payment.
Cancelation & Refunds: Because TRUE ITALY EXPERIENCE pre-pays its suppliers before your trip we cannot offer a refund after payment has been received. There is a 100 % penalty for NO SHOW. If you have paid in full, and then cancel more than 45 days prior to departure we will do our best to get any amount that has already been paid but, we cannot guarantee a refund of any kind and strongly request you purchase travel insurance to cover the cost of any cancellations.
Refunds will not be possible for unused meals, entrance fees, accommodations, transportation, etc. No substitutions of any kind will be permitted.
True Italy experience requires that trip members purchase separate travel insurance to cover possible loss by cancellation, sickness or other unforeseen acts: (lost airline tickets, loss of luggage, trip delay, illness, medical evacuation, etc.) You will receive an insurance brochure or link when you sign up. Travel insurance is not included in any of our travel packages and must be purchased separately. You may read more below in the Travel Insurance section.
Please take note that if you choose not to purchase travel insurance that you are fully responsible for any costs related to the cancellation or delay of your tour. Refunds are not possible for any reason, so please protect your travel investment with travel insurance.
Disabilities: Any preexisting physical, mental or emotional disability that may require attention or treatment must be reported in writing prior to the beginning of travel.
Travel Documents: All passengers must be in possession of a valid passport; its validity must be for six (6) months beyond the re-entry date into the passenger’s home country. It is the passenger’s responsibility to ensure that all his or her visa and passport requirements are met. We will not be held responsible for delay or cancelation related to any required travel document, passport or tourist visa issues.
Travel Insurance: Due to the pandemic; travel insurance will be required for all travel. You may purchase your insurance from us or your own source. Proof of insurance must be provided prior to departure. We strongly requires trip members to purchase separate travel insurance to cover possible additional costs (lost airline tickets, loss of luggage, trip delay, illness, medical evacuation, etc.)

Accommodations and Special Requests: Accommodations and services made available through True Italy experience ‘s website or offices are subject to the disclosed terms and conditions. TIE will supply general descriptions, photographs, location information, amenities and other detailed information so you have all you need to make an informed booking decision. You will be given an accommodation reference number or name that represents the accommodation within our database only. The exact accommodation with complete name, address and contact information will be given only after purchase. Our goal is to provide our customers with a high level of personalized service and offer a level of knowledge about your destination unmatched by any other company.
All accommodation reservations are guaranteed for double occupancy (one double bed or two twin beds unless you have requested otherwise, other reservations for apartments, villas will list the service booked on the voucher issued). If you have special requests (such as pet accommodations, type of bedding, connecting rooms, view, floor location, etc.), please let us know in advance in order to check if the service can match your request.
Accommodation Local Taxes – Hotel across Italy charge a daily hotel tax. This tax is not included in any pacakge we offer and must be paid locally by the customer.
Accommodation Star Ratings: The star level is proposed in all our offers and on line. Anyway True Italy experience uses a number of factors in evaluating the quality of participating accommodations such as: size of rooms, decor/furnishings, amenities, public areas, hospitality services, maintenance/housekeeping, reputation,
Please note that it is possible that the accommodation you are booked in could be a Resort or Boutique accommodation, which will at least meet the minimum qualifications of the star level you initially requested.
Late Arrival and Failure to Check-in or services during the tour: If you are going to be delayed, cannot meet your transfer or find that you cannot check in to your accommodation on the date and time you requested, you should contact the accommodation to let them know. If you fail to check in to your accommodation on the day of your reservation and do not alert the accommodation, True Italy Experience or the service provider, the remaining portion of your reservation will be canceled and you will not be entitled to a refund.
Special Needs: If you have special needs (e.g., wheelchair accessible room, food intolerance, special meal requests) you must tell to our booking agent in advance, before you pay the deposit and verify that special needs can be met.
Complaints: Should any complaints arise with regards to any services, accommodations or tours the matter must be promptly reported by the guest to the tour leader if on a tour, to the hotel AND directly to True Italy experience .. The guest must notify True Italy Exp. within 24 hours of any complaints during the period of their stay in order to take immediate action so as to solve the matter during your stay. We will not be responsible for any complaints received after the fact or after you have departed from the hotel, villa or service which the complaint applies. If T.I.E. is not immediately notified and we are not given the opportunity to correct the problem we cannot be held responsible.
RESERVATIONS THROUGH OUR WEBSITE
Most of the services booked through our website www.trueitalyexperience.com can be canceled free of charge within 6 days from the date of execution of each service.
Whether you pay via Paypal or by credit card, the full amount will be charged at the time of booking - if the above services are canceled within 6 days of the first service being purchased, the full amount will be returned.
In the event that a tour cannot be canceled once booked, it will be clearly indicated on our website in the "NOTES AND ADVICES" section.
Cancellation Policy
In order not to incur penalties for cancellations of excursion, guides, transport, restaurants bookings, these must be communicated to the Tour Operator at least 6 days before the scheduled excursion date.
No refund will be possible for those cancellations with less than 6 days prior to the booked excursion date.
In case of tickets, tickets are under the policy of the provider and mostly are not refundable.
Accomodation services normaly requires cancellation free within 45 days prior to arrival. After 45 days the accommodation is not refundable. In case of cancellation we will do our best to support the client.
Changes:
It may be possible to make changesto your reservation, however depends upon the type of change required. Our staff will check the request and will tell you if the change is possible.
Cancellation by the Tour Operator
When, for any reason, True Italy experience cancels the excursion, the customer has the right to claim reimbursement, only of the sum paid. True Italy Experience claims the right to cancel a trip for any reason up to 12 hours prior the departure.
In case of acts of force majeure (strikes, road conditions, weather…) we may modify the itinerary with alternative solutions maintaining the duration and quality of the service.
Disputes:
Any complaint by the client must be communicated in writing to the Tour Operator staff within and no later than 10 business days after the date of the tour. Complaints or disputes that cannot be resolved amicably between the client and the Tour Operator, shall be referred to the Florence Court.
Minors:
Children under the age of 18 must be accompanied by at least 1 adult to join a tour or an activity.
Safety Measures during Covid-19
Keeping you safe is our priority! All of our tours comply with the Italian Government's directives for the containment regarding the spread of Covid-19.
The main measures adopted are the following:
- A safe distance of one meter between clients will be maintained whenever possible
- All our vehicles will be deep-cleaned and disinfected before and after each service
- The use of masks is mandatory. Clients must bring their own masks
- Alcohol gel will be available on all our vehicles
- The temperature will be checked for staff and visitors
- Disinfected radio units will be provided, and headphones will be single-use
- Showing the voucher on mobile phones will be enough; it is not necessary to print them out
